Entourage
What is Entourage?
Entourage is an email client application which enables you to send,
receive and manage emails from your workstation, just like Mulberry,
Eudora or Microsoft Outlook.
Entourage is in fact a variant of Outlook that was developed by
Microsoft specifically for use on Macintosh machines rather than
Windows PCs. Thus it shares many features in common with Outlook as
well as having a similar user interface.
However please note that Entourage can only be installed and run on
a Macintosh, so it is not a suitable email client application if you
have a Windows PC. Its sister application Outlook, conversely, can only
be installed and run on a Windows PC and not on a Macintosh.
Why use Entourage?
The College's current main email software for staff, Mulberry, is no
longer being actively developed - although it still works fine for the
moment - so we will need to replace it. After requests from a wide
range of staff across the College for Outlook (PC users) and Entourage
(Macintosh users), we piloted both of these applications. After
successful completion of the pilot testing, we are now offering
Macintosh users Entourage as an alternative to Mulberry.
How do I decide between Entourage and Mulberry?
Both Entourage and Mulberry have the core email functionality you
would expect. Here are some of the less obvious functions, which may or
may not be relevant to you, to help you decide which to use.

on.

Help with Entourage
Using the Office Assistant
- From the Main Menu, choose Help > Use the Office Assistant (view screenshot)
- This will cause the familiar Microsoft box Office Assistant graphic to appear.
- Click on the Office Assistant graphic to display the balloon in which you can type a question (view screenshot)
- Type "create new email" in the balloon. Click Search.
- The help results will be displayed in a balloon above the Office
Assistant. Click on a result to display it in a separate window:

1. Select
Mail in the Navigation Pane.
2. From the
Main Menu, choose
Tools > Signatures to open the
Signatures dialog box.
3. Click the
Newbutton to open the create new signature dialog box.
4. Enter a name for the signature in the
Namefield.
5. Type the signature content in the space below. The signature should be in the following format, replace items in italics with your own details:

6.Hold the
command + skeys on your keyboard to save signature, followed by
command + wkeys to close the window.
Specify a Signature as the Default
1. On the
Tools
menu, click
Accounts.
2. Click the account that you want to specify a default signature for, and then click
Edit.
3. Click the
Optionstab.
4. Under message options, click the drop-down menu and choose the default signature.
5. Click
OK.

By default Entourage saves copies of outgoing email locally on your machine. This means that when you try to access your email from another machine or via the web interface you are not able to see it. Follow instructions below to copy outgoing emails to the IMAP sent-mail folder.
1. Select
Entourage > Account Settings
from the
Main Menu
.
2. Double click
Goldsmiths Email (IMAP)
.
3. Select the
Advanced
tab in the
Edit Account
dialog box.
4. Tick the box labelled
'Store sent messages in this IMAP folder'
and select
INBOX.sent-mail
from the drop down list.
5. Click
OK to close

If you have not 'Subscribed to' a mailbox it will not appear in the user hierachy which is where shared mailboxes are displayed. To subscribe to a mailbox do the following:
1. In the
Navigation Pane
click on
Goldsmiths Email
.
2. On the right hand side expand all folders under the
user
hierarchy to display mailboxes which have been shared with you.
3. If a mailbox is shaded in light grey that means that you cannot view the contents of that mailbox. To change this simply click the
Subscribe
button in the toolbar.
Note:
If you cannot see a mailbox which you should have access to, click the
Update List
in the toolbar.
You have the ability to view mailboxes that others have shared with you, but not the ability to assign others permissions. To allow a person access to a mailbox owned by you, please email the
Systems Administrators Team
with your username, the name of the mailbox(es) you would like to share, and the username(s) of the person who you would like it to be shared with.
Entourage does not allow this functionality.
If you need shared access to a departmental account, an authorised person within your department will have to make a request to the
System Administrators Team
. An email to the team should include the username and name of the mailbox which needs to be shared, and the username of the person who should have access to it.
You will need to do the same if you would like another staff member to have access to your own mailbox.

There are two ways to do this:
1) Type the name in the To: field and click the
Check Names
button in the toolbar to search the Goldsmiths LDAP Directory
2) Click
Address Book
in the
Navigation Pane
and type the name in the search field on the right hand side.
Double click on the entry you require to view details.
The College does
not
use an Exchange server which would allow you to view other users' calendars. The recommended calendaring software application is
Oracle Calendar
(formerly known as Corporate Time). This will allow you to view others' calendars.
This facility is activated via a webpage available
here.

Please note that although we can supply you with the incoming and outgoing mail server details, IT Services will
not provide any support for installing or using Entourage off campus.
Please refer to the Other Email Clients section for server details.
Mobile devices which are able to synchronise with Entourage are
not
being supported at present. IT Services aim to release Entourage to those users that would like it first and then consider the options surrounding access to your email using such devices.
You will be notified when such facility is availble to you.
Entourage 2004 will only be supported for laptops which are connected to the College network using a currently valid College login name and password.

ITS do
not
support POP mode. This mode of email access means that email is taken off the server and saved locally to your machine. This means that you will not be able to access your email from other network locations or via webmail. It also contravenes the Email Policy for Staff, a copy of which can be read
