Procurement

The process of placing individual orders with suppliers is largely devolved to Departments, using an integrated finance system. However, the central Procurement and Payment teams manage the end to end process to ensure that goods & services are ordered and invoices paid promptly, whilst operating within the College’s Finance Regulations & Procurement Policy & Procedures.

The Procurement team has responsibility for procurement strategy and an established framework for planning and decision making, contract management and measurement. The team aims to ensure that the best long-term value for money is obtained with regards to all goods and services through best practice and by directly supporting all corporate, high value, and strategic procurement.
 
Goldsmiths College is a member of the London University Purchasing Consortium (LUPC). As a public sector body, it is subject to relevant procurement legislation.

Goldsmiths uses ProContract for all of its electronic tendering activity.  ProContract is a web-based tool for which you will need to register an account via our portal environment.

There is no charge for registering an account on the portal environment, however, to take part in any of our purchasing activities going forward you must have an account registered on the portal.

If you are already registered on this portal, please ensure you log in and edit your profile and ensure your account is up to date.

There are user guides to assist you with the registration process and throughout the time that you are active on the portal. However, should you require any further assistance please look at Proactis website

Goldsmiths has adopted Constructionline as its main tool for sourcing and selecting pre-qualified trades and contractors for its building related requirements below the OJEU threshold. Goldsmiths reserves the right to use other approved procurement methods as appropriate.

Goldsmiths will also require contractors to hold an active a health & safety assessment certificate from an SSIP (Safety Schemes in Procurement) scheme.

Contractors wishing to register on the Constructionline portal or if you wish to find out more about SSIP should contact Grahame Howett on 07712 429820 or at grahame.howett@constructionline.co.uk. Applications not registered with Constructionline are encouraged to do so as this will simplify the pre-qualification process.

If contractors are already registered on Constructionline then they should check that their registration is up to date for the benefit of the searching authority and the contractor.

Suppliers not registered with Constructionline will not be precluded from expressing an interest in contract notices but will need to demonstrate that they meet the pre-qualification requirements, through the completion of the PAS91: 2013 questionnaire which will be sent out with Estates related tenders.

Please find attached the standard terms and Conditions linked to all Purchase Orders.  Suppliers should note that by accepting a college PO that you are automatically accepting these T&C’s.
