Using your own devices

There are important actions you can take to keep your information secure when using your own device.

Staff should always use their Goldsmiths managed computer for work.

If it is necessary for you to use a personal device, you should take additional action to protect your information.

Computers

  • Use a secure password for your laptop and lock it whenever you are away from it
  • If other people are using the computer, set up your own account that only you have access to
  • Ensure your software and operating systems are up to date
  • Install antivirus software
  • Access your @gold.ac.uk email online through outlook.com/gold.ac.uk rather than downloading emails to your machine
  • View and edit files online rather than downloading them. You can use OneDrive or SharePoint in Microsoft 365
  • Do not save confidential files to USB sticks

Phone and tablets

  • Use a long PIN number to lock your phone and set it to lock after a short period of inactivity
  • Set up remote data wiping so you can delete all data if your device is lost or stolen
  • Use the Microsoft 365 apps to access your Goldsmiths email and documents
